I am in the nascent stage of opening my skin care studio. Can anyone suggest a method for online record keeping and customer record keeping? Which ones are the best for our line of business? Btw, I work alone, no employees. Any suggestions for either? Thank you!

PS. I initially signed up with Square up, but I don't think I can connect this to Quick books, should I decide to use that. Help! ;)
Kimberly I use intuit gopayment. It is a part of Quuickbooks. They offer flat rate percentage no monthly fees great customer service.

Kimberly, if you are solo then you might not want/need too much in the way of software.

I am not a fan of quickbooks - I am a good record keeper, and this makes it hard for me, my tax preparer thinks I keep good records and does not demand that I use it...some tax people do.

For client record keeping I like a paper file that I make notes in.  But our on line scheduler (schedulicity) does store all info on clients, great if I want to do a mailing or e-marketing. 

 

And... I can't help it...I've had 2 hard-drive crashes in my lifetime and am so paranoid of losing info.

 

If you have a big business plus employees you will definitely want the software.  I'm just a solo so don't have any experience with it.

Kimberly- look into Styleseat.com this is a great online booking tool AND it helps you keep track of your clients really well.  I just created a simple spreadsheet for tracking my sales/sales tax/etc. I think the most important thing is to find a SIMPLE system you can use easily, and then USE it regularly... don't let things pile up on you and get overwhelming. :-)

I use good ol' Excel.  I have one workbook with several pages that includes 1.Revenue, 2. Product Sales, 3.Client Database with all demographic information for each client.  I agree that if you are just starting out a software program may just be another expense that you can do without.  This really helps me during tax time!

 

I also keep all my client records on paper but will start experimenting next year to see how efficient it would be to enter all information on my laptop after each client visit.

I am a fan of Quickbooks.  I have used it since 1993 with different businesses.  It is very user friendly and takes no time at all to keep you stuff up to date.  I also use the GoPayment credit card system.  Sooo easy and inexpensive.  If you would want any help with QBooks I would be willing to chat with you.  I use the Pro edition but the basic one would be more than sufficiant.  All of the other ideas are great too.

I used to use Leprechaun. Now I use Vagaro. I did my own paper record keeping for years and it was such a hassle for me. I am not a very organized person. So, I absolutely love the software. Vagaro is a newer software and they keep adding new stuff to it all the time. This keeps track of all my Inventory, client records, I use it for on-line booking too.  It also has an email marketing page. I pay 35.00/month. It is definitely worth it.  I link this to my website so they can just book the appointment from their. The on-line booking is new for my clients and I have some that love it and others that still call me. I wasn't sure about giving up the control over my book but actually now I wish they would all book on-line.

I too just started using vagaro and I like the small monthly fee without imgestment in software but I have so much to learn! Before this I was using pen and paper, but it worked! I'm excited to learn all of vagaros features! I use the iPad app Square for credit cards. Flat 2.75%. No monthly or transaction fees and they pay quickly and track payments, send receipts. Love it!

@emilie, I just left Vagaro.  Just an FYI for you to be aware of.  These are the reasons I left. The response time when checking out clients was way to slow, the payroll records were confusing to keep track of. If you had to delete a transaction, they put a refund back into the reports. So I had to keep paper records as to what the refund was for. I did have clients that booked online which was nice but also clients wanted to call me, so i had to have my book to use to since I didn't have the ipad. Then I had a client tell me that when she got her appointment reminder, she also got an advertisement with it. Not sure how that happened or if it was just a fluke. Anyway don't won't to discourage you, just giving you a heads up incase you come across the same issues. I went back to Leprechaun which is a little more expensive but I know exactly where my money is. They have a ton of payroll records. Good luck.

I too left Vagaro 1 month after I changed everything over.  I am back to Leprechaun. It's the best...
