Currently I have file folders on all my clients. Curious to know if anyone else has found an alternative, besides keeping records in a filing cabinet.

Good question Theresa. I too use the old filing system but I keep an online log of clients as well. I store the basic info along with email addresses and er phone # and texting # too. I Keep most active clients #s in my cell as well. Then when I need to I am able to contact them through various avenues which makes it more convienent to keep in contact and available to them and they to me.

I have all of my clients in folders in MS Word.  No lost folders!

What do you do with consent forms or the client intake forms?

I have both forms on my website that they fill out which gets sent to my email. My web designer put them on my website for me.    then I copy/paste them into a word doc and put them into their folder.

 

You could just scan both docs.  Waste of paper tho....

I have PDF forms on my site, but client has to print them out and bring them to their appt. I will ask my web designer too about setting the forms up so that clients can fill them out and email. A better way to go. Thanks Laura.

Great inquiry.  I keep both hard copy file folders and computer files.  I use outlook for the computer file but it is limited.  I like Laura's method but have not done it.

I know this option isnt for everyone but i use Spa Booker by GramercyOne (www.spa-booker.com) its a point-of-sale and business management software for the spa industry that i pay $25 dollars a month for, which is the lowest membership available (they offer 4 more levels of membership), but this allows me a full futured appointment book, intergrated point-of-sale, online booking, facebook booking, and more. i invested in an ipad ( the program works great with any computer and smart phones too) to mobily carry my spa booker software with me and this is the BEST thing i have done! It allows me to keep all my clients information nicely organized with detailed booking history and dated product purchases, i also created PDF's for all my consulation forms so now my new clients virtually fill these out on my iPad, eliminating paper waste and mess, which makes my mobile spa incredibly easy to keep organized. And i keep a second copy of all my clients information backed up on an external harddrive.

 I paried my ipad with The Square (www.squareup.com), which is a super simple credit card processing system that works with any iPhone, iPad, or Android phone that takes 2.75% per swipe for all cards, automatically deposits to your account and comes with a free card reader. I love this program because it allows the customer to choose between texting or emailing a reciept of the services and/or products purchased to themselves, which again eliminates paper waste. Anyways, maybe a software like this will make it easier for you, it's so worth the $25 a month to me.

 

@Tatiana - do you have to get a special version of Adobe in order for your clients to fill out a pdf form?

No, Adobe should read the finished forms just fine, i just created a ''fillable PDF form'' using Adobe Designer

Thanks Tatiana for the info. I currently use Schedulicity , I'm going to look into Spa-Booker. Sounds like you can get more for your money.

I, too, utilize Schedulicity. Sounds like maybe more bang for your buck with Spa-Booker... How do you think our current clients would feel if we switched to a new system?
